Conditions of participation
All students/graduates who have successfully graduated since 1 September 2024 and have sent proof of this by the deadline of 5 October 2025 are cordially invited to take part in the 2025 graduation ceremony. Please notice: The registration deadline is 5 October 2025.
A photo of the degree certificate or an excerpt from the transcript of records serves as proof (example see button).
Invitation
Graduates whose degree is already registered with the Examinations Office will receive an invitation.
If you meet the conditions of participation by the deadline of 5 October 2025 you can already register until 5 October 2025 without having received an invitation.
Registration, admission, end of registration
Registrations are possible until 5 October 2025. To register, please follow these three steps:
1. Complete the online registration form (link below). Please enter a correct and permanently valid e-mail address. (Your student e-mail address will be deleted shortly after exmatriculation).
2. Send the requested proof of your degree until 5 October 2025 by e-mail to absolventenfeier@h-brs.de.

3. You can bring up to seven accompanying persons to the event. As a graduate or employee of H-BRS, your participation in the ceremony is free of charge. A participation fee of 35 euros will be charged for each accompanying person over the age of 18. Please transfer the total cost for the desired number of accompanying persons to the university account by 5 October 2025 at the latest: DE03 3705 0299 0074 0010 77, Kreissparkasse Köln, COKS DE 33. Purpose: 10501160 First name Last name Graduate.
Your registration will only be processed further once the proof of study and contribution have been received. Only then will you receive confirmation of admission to the celebration.
A refund of the participation fee is possible in the event of illness. A written cancellation must be received by 10 a.m. on the day of the event at the email address absolventenfeier@h-brs.de.
Subsequent change of registration
The e-mail after online registration contains all your registration details. The e-mail with the admission to the graduation ceremony is decisive for participation in the ceremony. If you would like to change your registration at a later date, please forward the email you received after online registration to absolventenfeier@h-brs.de and include your changed details in the email.
Accompanying persons, children at the graduation ceremony
You can bring up to seven accompanying persons to the event. As a graduate or employee of H-BRS, your participation in the ceremony is free of charge. You are of course welcome to bring children to the ceremony; you are responsible for their supervision. The organizer does not provide childcare. Please bear in mind that the central ceremony offers few attractive program elements for children.
Graduates of past years
Graduates who completed a degree at H-BRS from Oktober 2022 on and have not yet attended a graduation ceremony (for this degree) may also participate. Please also register online.

Costs, Dresscode, Rental of Academic Clothing
Costs
Your participation (entry) as a graduate in the event is free of charge. For accompanying persons (excluding children under 18 years), a fee of 35 EUR per person is charged. The service provider charges a fee for the rental of gown and cap (see below). Drinks and food can be bought on site.
Dresscode
We would be pleased if you, as a graduate, wear a gown and cap during the ceremony (see next box). Beside that, please wear whatever you think is appropriate for the ceremony.
Booking of academic clothing
Gowns and hats will be rented by an external service provider for a fee (see link below). If you order by 10 October 2025, you can still opt for advance delivery. Otherwise you will (only) have the option to pick up the academic attire before the ceremony on site in a time slot allocated by the service provider. This means in any case a certain waiting time for you on the day of the event.
The booking portal closes on October 17; for later bookings (e-mail to registration@robe-academicus.de) a higher price applies.
Picking up the academic clothes
You may pick up your academic attire on the day of the event or have it sent to you in advance. If you choose to pick up, you will be assigned a time for pick up and dressing. Please be sure to adhere to your pick-up time. Gown pick-up closes a half hour prior to the start of the event.

Admission Control
Admission control. You will receive your personal admission information a few days before the pre-event.
Placement on site
Graduates are grouped by department and will sit in front of the stage in seats marked by name. The grandstand seats at the sides are reserved for all other guests. There is no seat reservation here, but free choice of seats.
Time Table, Parking
Admission to the Dome is from 14:00; the event starts at 16:00 and is expected to end at 22:00 at the latest.
The address of the Telekom Dome is: Basketsring 1, 53123 Bonn (Hardtberg). There is only limited parking at the Telekom Dome itself. Please also use the free parking spaces at the signposted Hardtberg-Halle (Gaußstraße and Schießstandweg, approx. 15 min. walk to the Telekom Dome).
Ecumenical Service
The ecumenical service will take place at 1.30 pm in the Protestant Emmaus Church: Borsigallee 23, 53125 Bonn.
Pictures, Filming, Media, Donation Campaign for Ukraine
Pictures and filming during the ceremony
During the graduation ceremony photos and videos will be taken and will be published on our website and in social media. You can download these pictures few days after the event - including the group picture with the throwing of the hats. By participating in the event, you and your accompanying persons agree to publication in these media.
Photo Booth of the Alumni Network
The university's alumni network also congratulates you on your successful graduation and invites you to have your photo taken with your guests. Get your picture from the photo booth printed out and/or use it for social media right after it had been taken.
Final picture: throwing hats
All graduates will be asked to come on stage for the joint hat toss and some graduation photos. These photos will be taken by a professional photographer and will be available for download on the university website within a few days. It is not necessary for your relatives to crowd to the front for pictures to be taken.
Donation Campaign for Partner University in Ukraine
Like in past years at the 2025 graduation ceremony, donations will be collected for a student project at our partner university CPNU in Chernihiv, Ukraine: The money will be used to further equip the students' MakerSpace with another 3D printer, oscilloscope and measuring devices. The university has been the target of several Russian attacks since 2022. The fundraising campaign is a sign of our solidarity with the students and employees of the CPNU in particular.
